EXCEPTIONS & QUALIFICATIONS NARRATIVE
Gravitec Systems Inc. submits the following exceptions and clarifications to accompany its response to RFP25SB01 – Fall Protection Surveys:
PRICING FORMAT CLARIFICATION
Gravitec is quoting firm fixed pricing per site, in accordance with the Bid Form structure. The 2026 Engineering and Consulting Rate Sheet is provided for reference only and does not form the basis of the pricing submitted. All quoted site pricing includes labor, travel, report development, and associated coordination. No time-and-materials billing will be applied under this scope.
TRAVEL AND MOBILIZATION
Travel time and expenses are included in the firm fixed price per site. Site sequencing and mobilization planning were developed to optimize cost-efficiency, minimize repeat travel, and allow multiple sites to be completed per trip where feasible. No separate billing for travel, lodging, meals, or per diem will be submitted.
TRAINING
Authorized Person and Competent Person training programs are discussed in the proposal narrative to demonstrate Gravitec’s broader capabilities. However, training is not included in the bid pricing and is not required for award under this RFP. Should Weyerhaeuser request training as a supplemental service, it will be scoped and priced separately.
ASSUMPTIONS ON SITE ACCESS AND SUPPORT
Gravitec assumes that Weyerhaeuser will provide:
Safe, coordinated access to each site on the agreed
survey date(s)
An escort or knowledgeable site representative to facilitate access and clarify typical work practices
Permission to photograph fall hazard locations for documentation purposes
Timely responses to scheduling communications and report review as needed
If site access is restricted, delayed, or requires rescheduling for reasons outside Gravitec’s control, Gravitec reserves the right to adjust the timeline or apply delay charges as outlined in a mutually agreed project kickoff memorandum.
REPORT FORMAT
Gravitec will deliver a written report for each site surveyed, consistent with the format previewed in the proposal narrative. Each report will include:
• Risk Ratings
• Recommended Solutions
• Budgetary Cost
• Prioritization Matrix based on Relative Risk Rating
• Individually documented fall hazards
• Color photographs
• Task descriptions and fall-distance measurements (where applicable)
• Summary of observed conditions
Should Weyerhaeuser require additional deliverables (e.g., engineered designs, AutoCAD layouts), these services can be scoped and priced separately.
TIMELINE MODEL
Gravitec has the capacity to dedicate a five-person survey team to this effort, allowing parallel site visits and concurrent report development. Under this model, the project is estimated to be completed in approximately 3 months. Alternate durations for smaller team allocations are provided in the proposal for reference only and are not reflective of Gravitec’s intended staffing.
SUBCONTRACTING
Gravitec will perform all services with internal personnel. No subcontractors will be used for survey, reporting, or coordination.
